What is the QuickBooks Web Connector?
The QuickBooks Web Connector is Intuit's free Windows app that lets an online system exchange data with QuickBooks Desktop on a schedule.
QuickBooks Desktop runs on a PC, not in the cloud, so an online POS cannot reach it directly. The Web Connector (often written QBWC) bridges the gap. It runs on the same Windows PC as QuickBooks, checks in with the online service on a schedule, asks whether there is anything to send or receive, and passes the requests into the company file.
Setting it up takes a few minutes. The online service gives you a .qwc file, a small configuration file that tells the Web Connector where to connect and what username to use. You add the file in the Web Connector, enter the password the service gave you, choose how often it should run, and tick the app to run on a schedule. QuickBooks asks once for permission to let the app access the company file.
The Web Connector only works while the PC is on, and it needs QuickBooks to be able to open the company file. Most problems come from one of three things: the PC asleep or logged off, the company file open in single-user mode by someone else, or a changed password. Because it runs on a schedule, data arrives in batches rather than instantly, which is fine for sales, payments and stock.
SeroPOS connects to QuickBooks Desktop 2021 or later (Pro, Premier or Enterprise) through the Web Connector, on the Pro plan. The QuickBooks dashboard in the back office has a five-step Setup guide, a Connection tab to create the connection and download the .qwc, tabs to fetch and map accounts, items and taxes, a numbered Send data pipeline for products, customers, invoices, suppliers, purchases and expenses, and a Health tab that shows what is holding the sync up.
A bakery's bookkeeper creates the connection in SeroPOS, downloads the .qwc file and adds it to the Web Connector on the office PC, entering the one-time password. She ticks the every-minute schedule. Overnight the Web Connector sends the day's 212 sales into QuickBooks as one invoice per day grouped by category, ready for her to review in the morning.
